Telmi is a desktop app that listens to your calls and helps you during and after them. This page explains what we collect, what stays on your computer, and who else touches your data. The short version: your calls live on your computer, not on our servers.
The short version
- Your calls stay on your device. Transcripts, notes, summaries, action items, and coaching are saved as files on your computer (on a Mac, in
~/Telmi/calls). We don't store them. - On a Mac, audio never leaves your computer. Speech is transcribed on the device.
- Text goes to an AI model. To write suggestions and notes, Telmi sends text (recent transcript excerpts, your notes, and the knowledge pack you chose) through our server to Google's Gemini API.
- On Windows, audio goes to Deepgram for transcription, because Windows has no on-device transcriber that's good enough.
- Our servers hold your account, not your calls: your name, email, plan, and a count of calls.
- We don't sell your data, and we don't use it for advertising.
What we collect
Your account
When you sign up we receive your name and email address, and your Google account ID if you sign in with Google. Sign-in is handled by Clerk. We keep a user record with your plan (Free or Pro) and subscription status.
Call counts
The free plan includes 5 calls, so the app tells our server when a call starts and how long it ran. We store a random call ID, the platform (Mac or Windows), the start time, and the duration. We don't receive the call's title, attendees, audio, or transcript.
App sign-in tokens
When you sign in to the desktop app, we create a token that the app keeps in your Keychain (Mac) or Credential Manager (Windows). We store only a hash of it, plus when it was created and last used, so you can be signed out remotely.
Payments
If you upgrade, Stripe processes your payment. We never see or store your full card number. We keep your Stripe customer ID and subscription status.
Calendar
If you connect Google Calendar, Telmi reads your upcoming events (titles, times, attendees, and meeting links) with read-only access, so each call can be matched to its meeting. Events are fetched when the app asks for them and passed straight to your device; we don't store them. On a Mac you can instead use macOS Calendar, which never touches our servers.
What stays on your device
- Your audio, on a Mac. Speech is transcribed with Apple's on-device speech model.
- Transcripts, notes, summaries, action items, follow-up emails, and coaching for every call.
- Your knowledge packs, answer cards, personas, and settings.
- The matching of questions to your answer cards.
You can delete a call by deleting its folder. Uninstalling Telmi doesn't delete these files; you can.
What goes to the AI
To suggest what to say, write notes, coach you, and answer chat questions, Telmi sends text to Google's Gemini API through our server. That text can include recent parts of the transcript, your notes and bookmarks, the knowledge pack you picked, and, for chat, relevant excerpts from past calls. If you ask Telmi to look at your screen, a screenshot is sent too. If you turn on “Look things up on Google”, Gemini may run web searches for questions about news or other companies.
Our server passes these requests through to Google and streams the answers back. It checks your plan and rate limits, and never logs the content of requests or responses. Google processes the data under its Gemini API terms. [To confirm before publishing: the Gemini API tier we use and its data-use terms.]
Windows transcription
The Windows app streams call audio to Deepgram to turn it into text during the call. It uses a short-lived key from our server, so the audio goes directly from your PC to Deepgram, not through us. Deepgram processes it under its own terms. [To confirm before publishing: Deepgram retention settings for our account.]
Who processes data for us
- Clerk: sign-in and account management.
- Stripe: payments and billing.
- Neon: our database (accounts, plans, call counts, token hashes).
- Vercel: hosts this website and our API.
- Google (Gemini API): writes suggestions, notes, and answers.
- Deepgram: speech-to-text, Windows app only.
- Google Calendar API: only if you connect your calendar.
Cookies
This website uses cookies needed to keep you signed in. We don't use advertising cookies or sell information to advertisers.
Recording and consent
Laws about recording and transcribing conversations differ by place, and some require everyone on the call to agree. You're responsible for following the rules where you and the people you talk to are. Telling people you're taking AI notes is a good default.
Your choices
- Delete any call by deleting its folder on your computer.
- Disconnect your calendar or sign out of the app at any time.
- Ask us to export or delete your account data by emailing hello@usetelmi.com. We delete your account record, call counts, and tokens. Stripe keeps billing records it's required to keep.
Children
Telmi isn't meant for anyone under 16, and we don't knowingly collect their data.
Changes
If we change how we handle data, we'll update this page and its date, and tell you in the app or by email for anything significant. Questions go to hello@usetelmi.com. See also our security overview and terms.
